JOB DESCRIPTION

The Director/ Sr. Director of Operations reports to the Chief Executive Officer and is a new role in the organization. The successful candidate will work with the CEO and support the Marketing, Community Programs/Engagement, Development, Research and Finance teams. This position will coordinate HR, IT and Finance Operations, and be responsible for Privacy, Tax and other compliance activities and project manage implementations and other projects. The Director/ Sr. Director of Operations will be empowered to support the efficient and timely operations of the organization and supervise internal and external resources as needed. The position will seek to continuously improve processes and inter-departmental interactions.

ROLE PROFILE

The successful candidate for this position will have at least 7 years of experience in operations, preferably non-profit, and knowledge of remote team coordination. Highly skilled in project management, system-building, and process operations, the Director/ Sr. Director of Operations will be a strategic thinker with excellent organizational skills who can also work collaboratively across departments and functions.

RESPONSIBILITIES

The Director/ Sr. Director of Operations will manage oversight and support all functional areas within LuMind IDSC to ensure efficient and streamlined central operations, who can build and ensure compliance of processes and systems. This includes project managing and coordinating projects and activities and overseeing two part-time team members and external resources/contractors.

Coordinate HR operations:

  • manage hiring, onboarding, offboarding with support of HR employee management software;
  • work with hiring managers to develop job description and profile and actively recruit or engage outsourced recruitment support when needed;
  • manage HR consultants, payroll vendor, employment attorneys, other contractors related to HR functions;
  • serve as a thought partner to leadership on HR issues, budgeting, processes, benefits management;
  • develop and implement training programs and retreats to expand the capacity of all staff. In addition, identify opportunities for LuMind IDSC to leverage cross-department strengths to take advantage of new opportunities and/or to address organizational challenges;
  • serve as internal HR contact person to ensure clarity of responsibilities, issues resolution and goal and career planning.

Coordinate IT operations:

  • serve as conduit between Employees, IT manager and outsourced IT support resource to resolve IT issues as they arise;
  • coordinate data and database security projects;
  • coordinate IT implementation projects.

Coordinate Finance operations:

  • point person to efficiently support outsourced Finance Functions needs and help troubleshoot as specific needs arise;
  • support continuous improvement of Finance processes and evaluation of new automated solutions, including cost comparisons;
  • support Finance Function and CEO to prepare and manage annual budget and quarterly re-forecasts.

Oversee Compliance and Operations projects:

  • oversee scheduling and arranging of Quarterly/ad-hoc Board-related meetings and Team meetings and retreats;
  • establish, maintain and oversee experts training of staff on compliance protocols and SOPs for data, operations and donor-related activities;
  • maintain paperwork and processes to ensure active non-profit status/state solicitations/taxes;
  • oversee GDPR privacy compliance of the organization;
  • organize legal documentation for the organization.
  • coordinate CRM structure, utilization, implementation, and continuous improvement;
  • find and implement software or API solutions to existing problems/silos/duplication and to continuously automate our operations including central ticketing system for our work queues such as IT, Marketing, Website management;
  • prepare LuMind IDSC operations for team growth, future collaborations, consolidation, remote work policies and office space assessment;
  • establish and oversee processes for organization’s volunteer networks to advance specific projects;
  • develop and implement a system for tracking and reporting on the progress of the strategic plan implementation.

QUALIFICATIONS

  • Bachelor's or Master’s degree or equivalent experience;
  • Minimum 7 years of operations experience with increasing responsibilities, with non-profit experience preferred;
  • Demonstrated project management skills with experience managing complicated projects and working well with Teams;
  • Skilled and experienced with IT systems implementation is a plus;
  • Flexible and capacity to handle a large number of ongoing tasks and projects simultaneously;
  • Comfort with ambiguity, flexibility and adapting to shifting priorities and plans;
  • Prior experience with recruiting and HR operations;
  • Prior experience interacting with accounting/finance function;
  • Prior knowledge of CRM systems and accounting software is a plus;
  • Self-reliant team player, good problem solver, results oriented, process and data-driven;
  • Energetic, flexible, collaborative, and proactive;
  • Strong attention to detail;
  • Demonstrated high integrity.
